Immersion Yoga Retreats reserves the right to change or amend this policy at any time. The current policy is always applicable. If you have any questions about the below Terms & Conditions please reach out to us at anna@annamiley.com.

RESERVATION POLICIES:

Your reservation is confirmed only once full payment is received along with an electronic copy of your current Travel Insurance Policy and photograph of your current Passport.

If you are using a Payment Plan (paying in instalments) full payment must be made 60 days prior to the Retreat start date. Failure to make full payment prior to this deadline will result in forfeit of fees paid and cancellation of your reservation.

CANCELLATION POLICY:

All sales are final. There are no refunds on payments made, except where outlined below.

In the event you need to cancel your booking more than 60 days prior to the Retreat event you will be eligible to be refunded 50% of your payment made.

In the event you cancel your booking 59 days or less prior to the start of the Retreat event, this will result in a total loss of funds paid. At the discretion of Immersion Yoga Retreats you may be able to transfer your payment to a future Immersion Yoga Retreats event or transfer your payments to another person (minus the non-refundable $250 Booking Fee, and if relevant to your purchase, the $100 Payment Plan Admin Fee). All Booking and Administration fees PLUS any additional amounts on the cost of the future event must be paid in full before confirmation of your reservation will be made.

We reserve the right to cancel a Retreat event at anytime. We will contact you as soon as possible to inform you of any such decision. As we aim to keep our retreats and events affordable. We require minimum ticket sales to proceed with Retreat events. If minimum sales are not reached we reserve the right to cancel the Retreat event. In this case a full refund will be made to you minus the $250 Booking fee and $100 Payment Plan Admin Fee where applicable.

If Immersion Yoga Retreats is prevented (directly or indirectly) from performing any of its obligations by reason of any Act of God, strike, trade dispute, fire, inclement weather, government or political action, pandemic, acts of war, terrorism or for any other cause whatsoever outside of Immersion Yoga Retreats’ reasonable control, we will be under no obligation to you and may, at our sole discretion by written notice to you cancel or postpone the retreat, if we deem it necessary to do so due to conditions that may be hazardous, dangerous or life threatening and take any other reasonable action. On this basis no refunds or transfers will be offered.

No reimbursement is available for your airfares on any other costs you may have incurred.

We advise you to take out Travel Insurance that covers Cancellation of Travel Plans.

VISA, PASSPORT & ENTRY REQUIREMENTS:

Travelling to New Zealand requires a valid passport. Australian citizens with an Australian passport do not require a visa to enter New Zealand. If you are on a different passport please check if you need a visa to stay in New Zealand.

The onus is on the traveller to ensure passports and relevant visas are current and valid.

The New Zealand has changing requirements and rules in regards to COVID-19 pandemic and entry to it’s borders. As at 22nd May 2022 the Smart Traveller website states, “Fully vaccinated Australian citizens and permanent residents can now enter New Zealand without self-isolating or entering Managed Isolation and Quarantine (MIQ). All travellers to New Zealand by air must complete and submit a New Zealand traveller declaration (NZTD) and receive a Traveller Pass before departure.” (https://www.smartraveller.gov.au/destinations/pacific/new-zealand) It is up to you to be up to date with and abide by the entry requirements set by the New Zealand government. We will be unable to provide any support or refund in the event you are denied entry to New Zealand.

TRAVEL INSURANCE:

As we will be hiking in the mountains we require you to take out comprehensive travel and health insurance that covers you if you need to be airlifted in the mountains. Please email us a copy of your insurance once you make your final retreat payment.

MEDICAL CONCERNS:

By attending any Retreat or event you are agreeing that you have been cleared by a medical professional in the last 6 months for physical activity, including yoga and hiking in alpine areas. You are required to complete our Registration Form at the time of booking and declare Medical information so that we can make an informed decision to confirm your reservation. We may require you to provide a written Medical Clearance from your current treating General Medical Practitioner or Specialist in order to confirm your reservation.

Immersion Yoga Retreats is not liable for any injury, illness or loss of life incurred while participating in a Retreat or event or while you are in transit to or from the event. By confirming your booking you agree to Release all Liability from Immersion Yoga Retreats for any personal injury, disability or loss of life.

FACILITIES:

All facilities, equipment, Lodge property and provided transport is to be treated with respect. Individuals are liable for all and any damage caused by them.

While all care is taken, Immersion Yoga Retreats cannot accept any responsibility for loss or damage of personal possessions or valuables of guests.

WiFi is available onsite free of charge. We ask that all guests keep their use of devices away from other guests to ensure a peaceful environment is maintained.

Kitchen and Laundry facilities are available to guests throughout their stay at the Retreat. There is no laundry service.

ACCOMMODATION

The lodge has 6 upstairs bedrooms. 4 of these rooms are available for single or twin share bookings with a King bed and a single bed. There are two other rooms available for twin share or quad share booking only. Twin/Quad Share rooms have 2 sets of bunk beds . If booking twin/quad share we put you with a same gender-identified person/people. All rooms share 2 large bathrooms each with 3 showers, 2 sinks and 2 toilets in them. Depending on who books we may allocate one bathroom for women and one for men, however, we generally run a ‘unisex’ bathroom policy.

We will do our best to ensure everyone is comfortable in their chosen accommodation. Please wisely chose your accommodation type.

ARRIVAL AND DEPARTURE:

One transfer only from Queenstown International Airport will be provided on Sunday 12th November 2023, departing the airport at 4pm NZST. Failing to be on the mini bus at this time will result in you needing to find your own transport to the Retreat Location. A precise meeting location within the airport terminal will be provided closer to the retreat dates.

One transfer only will be provided from the Retreat Location, departing the Lodge at 845am Friday 17th November 2022. Failure to be on the bus at this time will result in you needing to provide your own transport to your required destination.

If you require accommodation before or after your Retreat experience we recommend staying in Wanaka or Queenstown depending on your travel plans. The retreat accommodation is unlikely to be available for additional nights stays however you can enquire with the property directly stay@thelookout.co.nz

PLANNED SCHEDULE

We reserve the right to change proposed Retreat Experience schedule. We will do our absolute best to deliver the Retreat Experiences as advertised, however, due to bad weather, safety concerns, DOC rulings or other unforeseen circumstances, changes may be necessary. We will notify you of any changes as soon as possible. There will be no refunds given due to schedule changes.

Data Use and Protection

The guest agrees that they may be photographed and/or filmed during their stay and/or activities in connection with Immersion Yoga Retreats, and also agrees that Immersion Yoga Retreats may use such recordings for promotion and/or advertising purposes without any prior consent.
